First, decide which workplace moment you’re writing for
The title combines two related situations that shouldn’t be treated as the same thing. A welcome message celebrates a new employee joining the team. A farewell message thanks an outgoing employee and wishes them well. If both events are connected, use a clear two-part structure: acknowledge the person who is leaving, then introduce the person who is joining.
For a simple welcome, mention the employee’s name, role, department and joining date if those details are useful. Add the reporting manager, onboarding buddy or first-day arrangement when the message is going to a wider group. Practical information makes a welcome feel reassuring rather than ceremonial.
For a combined announcement, avoid saying that the new person is ‘taking over’ unless that wording is genuinely necessary and has been approved. A new employee may be joining an evolving team, not replacing a person. Keep the outgoing colleague’s contribution and the incoming colleague’s introduction distinct and respectful.
Choose the sender, channel and tone
A manager or HR announcement can be formal, warm and informative. It should explain where the new joiner fits, who they will work with and whom colleagues can contact for onboarding questions. A senior leader may keep the note shorter, while a direct teammate can sound more personal and invite the new employee to connect over tea, lunch or a quick introduction call.
WhatsApp and Slack messages usually work best when they are brief, welcoming and easy to reply to. A group message can include the employee’s role and start date, then encourage colleagues to introduce themselves. Don’t overload the chat with a full career history or private details; save those for information the employee has chosen to share.
For a farewell event, a card or short speech can hold more feeling. Mention a specific contribution, habit or team memory rather than relying only on broad phrases such as ‘all the best’. Keep the tone suitable for the relationship: a close colleague can be playful, while an HR announcement should stay measured and inclusive.
Personalise the message without making assumptions
Use placeholders such as [Name], [Role], [Department], [Joining Date], [Manager], [Project] and [Onboarding Buddy] while drafting. Then replace only the details that are confirmed. A note feels much more useful when it tells people what the new employee will work on, where they can meet them or how the first day will run.
Personal details need care. Don’t mention a resignation reason, health information, family circumstances, salary, employment history or a future plan unless the person has shared it publicly and consented to its use. The same applies to photographs, hometowns, pronouns and language preferences. Inclusive wording is safer than guessing.
If you’re writing in Hindi or Hinglish, match the group’s real speaking style instead of translating formal English word for word. A manager’s Hindi note may be respectful and structured; a colleague’s Hinglish message can be relaxed. Use English for role titles, project names and technical terms when that is how your workplace normally communicates.
Make a new joiner feel expected, not examined
A good first-day message reduces uncertainty. Along with a warm greeting, share the start date, office or remote-work details, reporting manager, meeting point, onboarding contact and any welcome lunch or introduction call. Only include logistics that are final, and direct practical questions to the right person.
Colleagues can help by introducing themselves, explaining what they work on and offering a small, specific form of support. ‘Message me if you need help’ is kind but vague; offering to explain a tool, share a team calendar or walk through a current project is easier for a new employee to act on.
For the departing employee, say thank you without turning the farewell into a performance review. For the incoming employee, express confidence without comparing their background or personality with the person who left. The best transition message gives both people dignity and gives the team a clear next step.
Just for fun
Can I welcome the new employee before I learn how to pronounce their name?Show the answer
You can send a general team welcome, but check the person’s preferred name and pronunciation before a public introduction. Getting that small detail right is more welcoming than confidently guessing.
Is adding a dozen celebratory emojis a substitute for onboarding information?Show the answer
Sadly, no. One or two cheerful emojis are fine in a friendly group, but the new joiner will appreciate the reporting manager, start date and meeting details much more.
Should the new employee be called the replacement?Show the answer
Usually, no. Welcome the person for their own role and contribution. The word ‘replacement’ can make them feel compared with someone they’ve never met.
Questions people ask
How do you welcome a new employee professionally?
Use a warm greeting, the employee’s name, their role or department and the date they’re joining. If the message is for a wider team, add the reporting manager, onboarding contact and a simple invitation for colleagues to introduce themselves.
What should I write in a welcome message for a new colleague?
Keep it friendly and specific: welcome them, say what they’ll be working on and offer one practical way to help. For a WhatsApp or Slack group, a short introduction followed by an invitation to connect is usually enough.
How do you welcome a new employee after someone leaves?
Separate the two moments. Thank the outgoing employee for their contribution, then introduce the new joiner by name, role and start date without suggesting they are being compared with or replacing that person.
How do you say farewell to an employee and introduce their replacement?
Use respectful, neutral wording and avoid sharing the reason for departure unless it is approved and already public. It’s often better to say that a new colleague is joining the team than to label them a replacement.
What is a good first-day message for a new joiner?
Mention that the team is pleased to have them, confirm where and when to report, and name the person who will help with their first-day questions. A short, practical message can feel more reassuring than a grand announcement.
How do you welcome a new employee in a WhatsApp group?
Keep the note easy to read on a phone: name, role, department and joining date, followed by a warm invitation for everyone to say hello. Don’t add private background details or expect the new employee to reply immediately.
How do you welcome a new employee in Hindi or Hinglish?
Use natural language that matches the group. Formal Hindi can suit a manager’s letter, while Hinglish often feels more comfortable in an informal office chat; keep job titles and project names in the form your team normally uses.
